At Landmark, our interdisciplinary teams collaboratively manage our complex patient panels. These teams are led by Physicians, Nurse Practitioners, and Physician Assistants, with supporting care provided by RN Nurse Care Managers, Social Workers, Pharmacists, Behavioral Health and other employed team members.

 

Oversees the administrative functions of the office in order to maintain a smooth, efficient and productive flow of business operations.  

Responsibilities

  • Acts as first point of contact for visitors, including offering refreshment and notifying parties of guest arrival.  Accepts deliveries and coordinates external shipments.
  • Maintains adequate inventory of medical and office supplies; including ordering and tracking.
  • Fulfill medical supply requests for providers
  • Key liaison for all facilities issues and interactions with building management, external copy suppliers and other local vendors
  • Partners with human resources and payroll for employee administrative and on-boarding issues, welcome baskets, and business card purchase orders.
  • Assists with credentialing of local office clinicians.
  • Schedules meetings as required by local management.
  • Coordinates travel planning for key members of the local management team.  
  • Reconciles market corporate credit card charges with AP, submit inbound invoices for payment to AP and approve invoices in accounting system.
  • Reviews payroll records in time keeping software for approval of payment, including provider on-call visits and timecard reconciliation.
  • Generates reports including on-call, urgentivist reports, home health referrals, hospitalization tracker, social worker tracker, Interdisciplinary Team and employee time off.
  • Organizes events for local employees including catering and facility reservations.
  • Partners with IT to become a key resource in operation of office systems and equipment
  • Adheres to established policies and procedures and assists in developing procedures that create efficiency.
  • Completes tasks and contributes to projects directed from all levels of onsite leadership.
  • Coordinates responsibilities for general housekeeping of common areas by Landmark team members and contracted cleaning service.
  • Attends NCMA, NCM, and management meetings as necessary to capture minutes.

Qualifications

  • High school diploma (or GED)
  • Some college preferred
  • 2 or more years in office management (medical preferred)
  • Must have experience with MS Office tools
